We are working with our client an International Bank to appoint an ETF Operations Assistant Manager - Contract role for Mat leave
The role provides exposure to Senior Management and directly reports to Head of ETF Operations
The Role
• Key role for the delivery of a cohesive service to our ETF clients
• Responsible for the day to day relationship with our ETF clients relating to portal access and trading support.
• Provide support as necessary on activities within the ETF Operations team, ensuring that all tasks are processed in accordance with agreed procedures and controls and in accordance with relevant fund parameters.
• Review team’s output to sign-off stage where required.
• Provide input into planning and controlling the ETF Operations workload and workflow.
• Train and develop staff on our ETF portal, Accounting activities and other ETF systems
• Suggest and implement improvements to the ETF Operations processes and procedures in consultation with the Head of ETF operations
• Participate in ad hoc projects from time to time as necessary.
• Ensure that the team are customer focused and that a high standard of service is provided.
Leadership & Teamwork
• Ensure ongoing cross training and development of the staff in the team.
• Continuous reinforcement of quality service focus amongst the Client Services team, whilst ensuring that service delivery is controlled, scalable and efficient.
• Provide feedback to staff on performance via one-to-one meetings and performance review process.
Operational Effectiveness & Control
• Ensure that any errors, losses and complaints are escalated and resolved in accordance with local procedures.
• Understand, follow and demonstrate compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business in which you are involved, specifically Internal Controls and any Compliance policy including, inter alia, the Group Compliance policy.
• Be aware of the Operational Risk scenarios associated with your role and act in a manner that takes account of operational risk considerations.
• Maintain Internal Control standards, including the timely implementation of internal and external audit points together with any issues raised by external regulators.
• Respond to queries from ETF Issuers, APs and other stakeholders in a timely and professional manner.
The Candidate
• Appropriate experience working in a Financial Services operation.
• Ideally educated to degree level.
• Strong product knowledge of traditional funds and specifically ETFs.
• Demonstration of strong industry knowledge is essential.
• Numeric and analytical with good attention to detail.
• Strong and proven inter-personal, communication and supervisory skills.
• Service oriented and customer focused.
• Ability to ensure deadlines controls and procedures are adhered to.
• Ability to analyse issues, and organise and proactively contribute to the team.
ETF Specific Knowledge & Experience/Qualifications:
• Strong knowledge of the various roles of each counterparty in the TA ETF lifecycle.
• Strong system knowledge of ETFs portals, Nav tools and how they operate in the industry.
• Strong Communication and Relationship Management skills pertaining to clients and APs in particular.
• Strong knowledge of Nav process, ETF order processing and settlement including items such as Market Deviation, Actual Cost and Cut off times.
